10:30 AM CDT: Welcome – What’s New in Student Manager

New goodies abound in this kick-off session. Have a first look into what we are doing to provide users with more help, more email features, and more ways to help your customers--the students. Plus, a couple of big new toys: A campus field for locations AND an import wizard to import names/registrations into multiple courses.

1:30 PM CDT: Customer Sharing Session - Why Bother with ACEware Standard Operating Procedures?

To make appropriate data-informed decisions or to tell a true story of your Continuing Education program requires precise and reliable data. To obtain accurate and reliable data requires that everyone interacting with the database (Student Manager) inputs information, in the same way, every time. How is this accomplished? With standard operating procedures (SOPs.)

Tri-County Technical College (TCTC) has SOPs in place within the Corporate & Community Education Division (CCED) for their Student Manager Database to ensure quality output and uniformity in their operational activities. Amy Littleton, Operations Manager, will share how SOPs are developed and maintained at TCTC. She'll share how SOPs improve operations and save time! Examples of their SOP documentation will be shared, and you will have the opportunity to ask questions of Amy.

About the presenter


Amy Littleton has over 20 years of experience working in higher education, and has been with Tri-County Technical College for the last 2.5 years. She is currently the Operations Manager for the Corporate and Community Education Division of Tri-County Technical College, where she oversees the day to day activities of the CCE division, which includes Healthcare, Transportation, Business, Manufacturing, and Pre-Highway/DOT. TCTC's CCE division sees around 10,000 students come through their programs yearly and ACEware plays a big role in the success of their students, particularly in the areas of student registration and payments, and reporting to multiple external entities.

10:30 AM CDT: Student Manager Customer Choice - Registration Tips and Tricks

ACEware provides you a variety of tools for the many registration scenarios you encounter in Continuing Education. In this session, you’ll receive an overview of registration options available including:

  • Mass Registration Tool
  • Mass Transfer Tool
  • Speed Registration
  • Grouping Registrations
  • Proxy Registration
  • Express Registration

Because there are so many resources but limited time together, this session is intended to give you an overview of registration options. You'll be able to identify those you could/should use in your organization.

1:30 PM CDT: Customer Sharing Session - Using Pocket Ledger at Auburn University at Montgomery

The Student Manager Pocket Ledger feature is used to track income and expenses and monitor financial performance. During this session, Brittany will review the pocket ledger screen, demonstrate how to add and edit records, perform mass distributions, and view different types of ledger reports. She’ll show a detailed Income/Enrollment Summary with Profit/Loss, and how demonstrate how to add instructor pay to ledger. Once you see Pocket Ledger in action, you’ll be ready to try it in your program!

Brittany Thomasson has worked with Auburn University at Montgomery (AUM) for nine years. In her role as Senior Program Associate for Continuing Education programs, she manages customer registration, payments, and correspondence.

ACEware has enjoyed a partnership with AUM for over 30 years.

3:00 PM CDT: Customer Sharing Session - Course Packaging: The Total Package

Course Packaging is a lifesaver for us, as we run several series programs that we also allow persons to sign up for individually. Before we had course packaging, we had to run mass register constantly to keep track of registrations. But with course packaging, we can run series of classes easily. It even clones well year to year. Join me and we will learn the wonders of course packaging and we can see if it works for you too.

About the presenter


Jonathan Watkins has worked with Aceware since the first day he was hired full-time at UNC Wilmington Community Engagement 13 years ago. He began as the Assistant Registrar in 2007, and in 2017 was named the Registration Manager after the retirement of the previous position holder. Jonathan has spent his time well, by learning many different aspects of Aceware and how to most efficiently use all of the features at his disposal. In his free time, he loves to travel and attend Broadway shows and concerts. Jonathan holds a B.A. in Theatre from Wake Forest University and completed his M.A. in Liberal Studies at UNC Wilmington.

Learn how to create and edit Email Templates. We'll cover email confirmations/receipts, reminder/follow-up notices, marketing emails, email roster to instructor, and custom merge mail templates. We'll also discuss the pros/cons of sending HTML formatted emails. The basics of template editing will be provided and resources will be identified to help you along the way.

1:30 PM CDT: Customer Sharing Session - Coding for Success at the University of Texas- El Paso (UTEP)

Why is coding so important? Codes help keep your data organized and efficient and allows for effective, informed reporting. Sales data can help figure out your Top Dog courses and customers. Grouping codes can make your marketing better on your web pages and subject codes can help you see trends in your course offerings. Strategic planning becomes easier with the use of codes. Valuable information for how to succeed in the future lies hidden in codes. CODES, CODES, CODES! Join me to see how coding has enhanced our planning!

Maxie Starr Flores serves as the Administrative Services Manager and ACEware Keeper of the Flame within the University of Texas El Paso (UTEP) Professional and Public Programs (P3). She was recognized as an ACEware Champion Educator (ACE) in 2017. UTEP averages over 1,200 courses annually with over 9,000 enrollments. ACEware and UTEP have been in partnership for 28 years.

In this session, Sara will provide a demonstration of how Lewis-Clark State College development and implemented a controller’s approved audit process within their training program. She’ll discuss how the process began with the end product in mind, and demonstrate daily and monthly reconciliation processes.

About the presenter


Sara Patterson has been with Lewis Clark State College (LCSC) since 1996. She has been working with Student Manager for the last five years as Keeper of the Flame for her team. Sara is finishing her Bachelors in Business Administration and her OEM certification through LERN. Sara supervises the office staff and prepares the procedures for registration, certification and reconciliation of all programs. She is the liaison between the Workforce Training Center (non-credit programs) and the main LCSC campus to make sure all policies and procedures are being followed and that Student Manager meets all audit processes.

LCSC has been an ACEware customer for 12 years.

Friday, June 5

10:30 AM CDT: ACEware Integrations in New Learning Environments

In this final session of our week of learning and sharing, we'll share ACEware integrations and strategies for socially distant programming. Although we will all eventually return to face-to-face programming, it's pretty safe to say that blended, online, hybrid, and virtual learning environments are here to stay. But that’s okay, since these programs work and reach even more students! We want you to know which integrations you have available, which are in the works, and what we’ve seen you doing!
