This privacy notice explains how ACEware Systems, Inc. ("ACEware," "we," "us," or "our") collects and uses the personal data we collect from you when you use our website.
This notice applies to visitors of our marketing websites and prospective and existing customers who interact with us. It does not govern data that our customers (continuing education providers) collect from their own students using our software — that is governed by each customer's own privacy notice.
1. What data do we collect?
ACEware collects the following data:
- Personal identification information — name, job title, organization/institution name, email address, phone number, mailing address.
- Account information — username, hashed password, account preferences, and authentication tokens.
- Transaction information — billing contact, billing address, and limited payment metadata (card type, last four digits, transaction IDs). Full payment card numbers are processed directly by our payment processors and are never stored on ACEware systems.
- Support and communication data — the contents of support tickets, demo requests, sales inquiries, customer surveys, and emails you send us.
- Technical and usage data — IP address, browser type and version, device identifiers, operating system, referring URL, pages visited, and timestamps, collected automatically through cookies and similar technologies.
2. How do we collect your data?
You directly provide ACEware with most of the data we collect. We collect data and process data when you:
- Request a demo, a quote, or pricing information through our website.
- Register for an ACEware customer account or use any of our products (Student Manager and CourseGet).
- Submit a support ticket, contact our sales team, or correspond with us by email or phone.
- Subscribe to our mailing list or register for an event, webinar, or our annual Users' Conference.
- Voluntarily complete a customer survey or provide feedback.
- Browse our website (technical and usage data via cookies).
ACEware may also receive your data indirectly from the following sources:
- Referrals from existing customers and partner organizations.
- Publicly available business listings and professional networks (e.g., for sales prospecting in the continuing education industry).
3. How will we use your data?
ACEware collects your data so that we can:
- Provide, operate, and maintain our products and services.

- Payment processing — Stripe and Authorize.net (for CourseGet transactions).
- Customer relationship management — Zoho CRM.
- Customer support — Zoho Desk.
- Email delivery — AWS SES.
We do not sell your personal data, and we do not share your data with third parties for their own marketing purposes.
4. How do we store your data?
ACEware securely stores your data on Amazon Web Services (AWS) infrastructure located in the United States. We employ industry-standard security measures, including encryption in transit (TLS) and at rest, access controls, multi-factor authentication for administrative access, regular backups, and ongoing monitoring for security threats.
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy any legal, accounting, or reporting requirements:
- Customer account data — for the duration of your active customer relationship with ACEware, plus a reasonable period thereafter for legal and operational purposes.
- Transaction and billing records — for the period required by applicable tax and financial recordkeeping laws (typically seven years in the United States).
- Support and communication records — for up to three years after the most recent interaction.
- Marketing list data — until you unsubscribe or request deletion.
- Website analytics and cookie data — for periods described in section 9.
When the retention period expires, we securely delete or anonymize the data.
5. Marketing
ACEware would like to send you information about products, features, events (including our annual Users' Conference), and educational content we think you might find useful.
If you have agreed to receive marketing, you may always opt out at a later date. You have the right at any time to stop ACEware from contacting you for marketing purposes.
