Does anyone in the public school sector use Aceware for their before and after school program?

We offer kid programming in our before and after school programming. In order to distinguish the difference between the kids and adult classes, I set-up the course code as follows

12SKID100 Yoga for kids

12 (year)
S (spring semester)
KID100 (catalog code - kid programming or category of class)

You can also break down further by using "department."

We use ACEware for our school age child care program that meets before and after school. There are four locations in our program currently, serving 17 schools in total. We have adapted SM to fit our needs...i.e., we use the organization code field to identify a specific elementary school. Our program is based on a monthly program fee for before school care and after school as separate "course numbers." We track medications and allergies in the interest code field. I am certainly not an expert, but with the guidance of Chuck, Michael, and Jason we have pushed the system to meet our needs to "revolutionize" this small Community Education Department...what we did with 5 support staff about 8 years ago, we now accomplish with 2 support staff and have actually grown in some program areas. Sioux Falls School District Community Education does not use Aceware for the afterschool programing. We tried to use it about 10 years ago but did not find that we could do auto billing for our biweekly fees. You can call me if you have questions. 605-367-7606 Thanks, Marcia

We don't have an afterschool program, but do have a summer camp offered in 2-week sessions for a total of 6 weeks at two different campuses. Parents can enroll students for 1 to 3 sessions. We code using our fiscal year and term along with a budget identifier and a number that indicates the campus, time (day), and session number. So a typical code could be 131CP0701: fiscal year 2013, first term, Camp budget, campus/time 07, session number 01. We keep some demographic information such as grade for grouping purposes and run many reports to keep of allergies, waitlisted campers, grouping, tee shirt labels, etc. to keep things organized. We also generate a list of chaparoning parents by registering them separately into "courses" for each of the trips.

Are you using ACEweb for registration as well?

Do you have reports that serve as per-child schedule sheets, or rosters that list any other courses a child is enrolled in for that week/day? Do those reports also include allergies/tshirt size, or are you pulling multiple reports based on what information is needed?
